Cancellation Policy

We understand that hiring needs can change. Clients may cancel their recruitment requirement at any stage by following the process below:

  • Employers may cancel at any time by providing written notice via email to their Hirekey representative.
  • If cancellation occurs after the recruitment process has started, fees already paid may be non-refundable depending on the level of service delivered.
  • If no candidate profiles have been sent within 7 business days from payment, the employer is entitled to request a full cancellation and refund.

All cancellation requests must be submitted in writing to support@hirekey.in with the relevant order details.

Replacement Guarantee

We stand behind every placement. If a candidate hired through Hirekey leaves within the agreed guarantee period, we provide one free replacement for the same position.

30Days — Standard
60Days — Extended
90Days — Premium

Replacement guarantee conditions:

  • Replacement initiated within 7 working days from formal written notice
  • All placement-related fees must be fully settled
  • Job role and working conditions must remain unchanged
  • Guarantee does not apply if exit is due to company downsizing, restructuring, or internal decisions unrelated to candidate performance

Refund Policy

Hirekey follows a no advance payment policy. Employers are invoiced only after a candidate successfully joins, making refund situations rare.

  • In exceptional cases where payment is made and services are not delivered, refund requests will be reviewed case-by-case
  • Refunds are not applicable if the requirement is cancelled after interviews have been conducted
  • Refunds are not applicable if a candidate leaves after the agreed guarantee period expires
  • All refund requests must be submitted with proper documentation to support@hirekey.in

Our Commitment: If a refund is due under this policy, it will be processed promptly and without dispute.

Refund Processing Timeline

Where a refund has been approved, the following timelines apply:

  • Approved refunds credited within 10–15 business days to the original payment mode
  • Any applicable service or processing fees will be deducted prior to refund transfer
  • Refund status updates communicated via email throughout the process
